Switching IT Providers

Switching IT providers, without the drama

Most businesses don’t switch IT providers because they want to. They switch because tickets sit unanswered, the same problems keep coming back, and every conversation feels like it’s about the provider’s limitations instead of your business. If that sounds familiar, the switch is easier than you think – and we’ve done it more times than we can count since 1997.

Signs you’ve outgrown your current IT provider

You don’t need a disaster to justify a change. These are the patterns we hear from businesses in their first call with us: Tickets take days, and “urgent” means nothing. You’ve stopped reporting small problems because it’s not worth the chase. Every fix is a patch, never a plan. You’re growing, but your IT setup looks exactly like it did three years ago. You’ve been told “that’s not possible” about things you know other companies do every day. Your provider is one person, and you’re worried about what happens if they’re hit by a bus, poached, or just on leave. If two or more of those landed, keep reading.

How the handover actually works

The number one fear about switching is disruption. Here’s the reality: a well-run handover happens in the background while your business keeps operating. Our approach follows a proven blueprint built from years of handovers, with enough flexibility to bend around your priorities and whatever obstacles the outgoing provider throws up.

  • Week 1 – Discovery. We audit your environment: accounts, licences, hardware, security posture, and the undocumented stuff your current provider keeps in their head. You don’t need to know any of this yourself; we know what to ask for with our standard RFI (Request for Information) documentation.
  • Week 2 – Access and documentation. We take over admin credentials, document everything, and set up monitoring. Your current provider’s cooperation helps but isn’t required – we’ve completed plenty of handovers with minimal help from the outgoing provider.
  • Week 3 – Cutover. Support switches to us. We’ll help you with the change management internally with support contact cheat sheets, pre-built email templates and (where possible) an onsite visit to get to know you. Your team gets one number and one email address for everything. Most staff notice nothing except that things get answered.
  • Weeks 4–12 – Stabilise and plan. We fix the backlog of known issues, close the security gaps found in discovery, and sit down with you to build a roadmap: what to fix now, what to improve this year, what to plan for as you grow.

Frequently asked questions

How long does it take to switch IT providers?

A typical handover to 3rdmill takes three to four weeks from signed agreement to full support cutover. Complex environments with multiple sites can take longer, but your team is supported from day one.

Will we have downtime during the switch?

No. A handover is an administrative transfer, not a technical rebuild. Your systems keep running; what changes is who’s answering the phone.

What if our current provider won’t cooperate?

It happens, and it’s manageable. As the business owner, you’re entitled to your own admin credentials, licences and data. We handle the recovery process and have completed handovers with zero cooperation from the outgoing provider.

Are we locked into a long contract?

No. We don’t do lock-ins, because lock-ins are what you need when your service can’t hold clients on its own.

Here’s how it works: your first year runs as a standard term so we can properly embed, fix what your last provider left behind, and prove we’re worth keeping. After that, you can terminate for convenience with 90 days’ notice. Ninety days is deliberate to ensure there is enough time to transition your environment cleanly to wherever you’re going, because a professional exit is part of the service too.

What does managed IT support cost?

Your IT should be costing you anywhere between $100 to $250 per month per user depending on the level of cyber maturity your business requires.
